By booking a retreat with The Arts and Crafts Retreat Company (“we”, “our”, “us”), you agree to these Terms & Conditions (“T&Cs”). Please read them carefully.

1. Booking and Payment Terms
• All retreats require full payment 10 weeks before the first day of the retreat.
• If the remaining balance is not paid by this deadline, The Arts and Crafts Retreat Company reserves the right to resell the retreat place, and no refund will be given.
• We will provide ample notice of the full payment deadline and when payment is required.
• Bookings can be made via bank transfer or via PayPal. See Section 18 for details on payment via PayPal and PayPal Buyer Protection.
• Payment is considered complete only when received in full.
2. Cancellation and Refund Policy
• Deposits are non-refundable, except in the circumstances below.
• If a retreat is cancelled by The Arts and Crafts Retreat Company, the hotel, the authors, or the stroke tutors for any reason:
• All deposits will be fully refunded.
• If full payment has already been made, customers will receive 100% of their funds returned.
• Customer-initiated cancellations:
• Deposits and full payments are non-refundable in the event of a no-show or late arrival.
• We strongly recommend that participants obtain travel or event insurance to cover unforeseen circumstances beyond our control.
3. Changes to Retreats
• Retreat details may occasionally be adjusted, including schedule changes, room assignments, or itinerary updates. Customers will be notified promptly of any such minor modifications.
• Major changes include, but are not limited to:
• A change of venue located more than one hour from the original retreat location.
• A change in the retreat’s listed authors or primary facilitators.
• A downgrade in the standard of accommodation (e.g., from a 4-star to a 3-star property).
• In the event of a major change, customers will be offered the choice of a full refund or the option to rebook for an alternative retreat.
4. Health, Safety, and Accessibility
• Participants must disclose any relevant medical conditions or disabilities to ensure a comfortable retreat and to inform the hotel.
• The company is not liable for accidents, injuries, or health issues during the retreat except where due to negligence.
• Participants are responsible for managing their own health and medical needs.
5. Tutor and Instructional Liability
• Tutors provide guidance and instruction during workshops but cannot guarantee specific outcomes, particularly in skill-based activities.
6. Accommodation and Meals
• Accommodation, meals, and materials vary by retreat. Please refer to individual retreat listings for specific details.
• The company is not liable for any issues related to accommodation or meals provided by third-party hotels.
7. Photography, Video, and Social Media
• Sessions may be photographed or recorded for marketing purposes, including social media and the company website.
• If you do not wish to be photographed or recorded, please inform a member of staff or your tutor prior to the retreat.
8. Intellectual Property
• All retreat content, teaching materials, and designs remain the property of The Arts and Crafts Retreat Company or the tutors.
• Copying or commercial use of materials without written permission is strictly prohibited.
9. Force Majeure
• The company is not liable for events outside its reasonable control, including extreme weather, travel disruptions, pandemics, or hotel closures.
• In such cases, the company may reschedule, refund, or offer credit at its discretion.
10. Minimum and Maximum Participants
• Retreats may have minimum or maximum participant numbers.
• If a minimum number is not met, the retreat may be cancelled or rescheduled, with a full refund or rebooking option provided.
• Bookings are subject to availability.
11. Personal Belongings and Liability
• Participants are responsible for their personal items, art materials, or equipment.
• The company is not responsible for loss, theft, or damage of personal belongings.
12. Travel and Transportation
• Participants are responsible for transport to and from the retreat venue, unless otherwise stated.
• Any transport provided by the company or partners is subject to the conditions outlined for that service.
13. Age Restrictions
• Retreats are open to participants aged 18 and over.
14. Allergies and Dietary Requirements
• Participants must notify the company in advance of any allergies or dietary restrictions.
• The company is not liable if an allergic reaction occurs despite reasonable efforts to accommodate.
15. Participant Code of Conduct
• Participants are expected to behave respectfully towards tutors, staff, other participants, and the venue.
• Unacceptable behavior may result in removal from the retreat without refund.
16. Privacy Policy
• The Arts and Crafts Retreat Company is committed to protecting your personal data.
• Personal data collected during bookings may include:
• Name and contact details (email, phone number, address)
• Payment information (processed securely via PayPal or bank transfer)
• Health or accessibility information (medical conditions, dietary requirements) if voluntarily provided
• Emergency contact details
• Your personal data is used only internally for:
• Processing and confirming retreat bookings
• Managing payments and deposits
• Communicating important information about your retreat
• Ensuring your health, safety, and accessibility needs are met
• Complying with legal obligations
• We do not sell, rent, or share your personal data with third parties.
• Your data is stored securely and accessed only by authorized staff. Payment details are handled securely through PayPal or bank systems; we do not store full card details.
• Under UK and EU data protection law, you have the right to:
• Access, correct, or request deletion of your personal data
• Withdraw consent where applicable
• Object to processing

• We retain personal data only as long as necessary for the purposes outlined above or to comply with legal obligations.
• Any changes to this Privacy Policy will be communicated on our website.
17. Governing Law and Dispute Resolution
• These T&Cs are governed by the laws of England and Wales.
• Any disputes arising from these T&Cs will be subject to the exclusive jurisdiction of the courts of England and Wales.
18. Payment & Buyer Protection (via PayPal)
• Payments made via PayPal Goods & Services may be eligible for PayPal Buyer Protection.
• Buyer Protection may cover full refunds if the retreat is not provided, materially differs from the description, or if you do not receive what you paid for.
• Eligibility for PayPal Buyer Protection is determined solely by PayPal.
• Any disputes regarding payment should be addressed through PayPal’s Resolution Centre first.
